The Opportunity:
  
This is an exciting newly created Executive Assistant position, offering the chance to work closely with two high-performing Board Executives in a role that blends traditional EA responsibilities with strategic project support. You’ll be an integral part of the leadership team – sitting in on meetings, helping drive key initiatives, and keeping priorities on track.
  
Your responsibilities include but are not limited to:

  • Providing high-level executive support to two Board Executives, managing calendars, priorities and communications with a proactive and strategic mindset.
  • Attending internal leadership meetings to take clear and actionable notes, provide follow-ups, and contribute insights when appropriate.
  • Managing and tracking multiple concurrent projects using Trello, ensuring timelines, actions and decisions are aligned and progressing.
  • Acting as a strategic gatekeeper—reminding the Executives of pending decisions, deadlines and follow-ups.
  • Supporting the implementation and delivery of key strategic initiatives, offering input and keeping teams accountable.
  • Building relationships across the business to effectively gather information, drive outcomes and influence timelines.

Your Skills & Experience:
  
To be successful in this role, you’ll bring a mix of executive support experience, strategic thinking, and strong project coordination skills. You’ll be comfortable working closely with senior leaders and adding value beyond standard EA duties.

  • Demonstrated experience in a senior Executive Assistant, Project Coordinator or similar role supporting executive-level stakeholders.
  • Exceptional organisational and time management skills, with the ability to manage multiple priorities across dynamic environments.
  • Strong communication skills with the confidence to engage with senior leaders, ask questions, and provide thoughtful input
  • Experience using Trello or similar project management tools to track tasks and drive outcomes.
  • Ability to think strategically, anticipate needs, and work with a high degree of autonomy and initiative.
  • Comfortable working in a fast-paced, evolving environment where responsibilities can shift based on priorities.
  • Professionalism, discretion, and sound judgement when dealing with confidential matter.

Executive Assistant

The EA provides high quality, confidential and high-level administration support to the Executive Manager at this NFP Organisation.

Our client:

This NFP (Not-For-Profit) organisation provides a Specialist Homelessness Service, Women’s Health Service, and support for women affected by trauma through counselling, crisis support, case management, advocacy, referrals, and social inclusion groups.  The organisation advocates for women’s rights, raises awareness, and works toward preventing gendered violence.

The Opportunity:

As an Executive Assistant to a very busy Executive leader,  you will bring your strong organisational skills, combined with your amazing computer skills and your ability to think on your feet in a fast moving, ever-changing environment.

Your Skills & Experience:
  • Previous PA/EA experience supporting senior management
  • Advanced MS Office, database and document management skills
  • High level typing skills with accuracy
  • Experience drafting correspondence from discussion or notes
  • High level interpersonal and communication skills, both verbal and written
  • Exceptional organisational skills
  • High level of attention to detail and accuracy of work produced
  • Systems oriented, with the ability to troubleshoot routine issues
  • Strong cultural awareness of Aboriginal and Torres Strait Islander peoples
  • Strong empathy combined with resilience and compassion
  • Be able and willing to undergo a Criminal History Check
  • Possess a Current Working with Children Blue Card
  • A Current and valid Queensland Open C Class Driving Licence

Your key responsibilities include, but are not limited to:

  • Provide confidential and detailed administrative support to the Executive Manager, including, but not limited to, organizing, coordinating, and taking minutes, as well as preparing agendas and action sheets for leadership team meetings, board sessions, and the AGM
  • Manage the Executive’s calendar, emails, and other correspondence on an ongoing basis, and handle the organization of training and travel arrangements
  • Professionally and tactfully screen all inquiries
  • Coordinate and organise meetings, including those for management and leadership teams, as well as workshops and other events, ensuring smooth attendance tracking and venue bookings
  • Collaborate closely with the Executive Manager to plan and communicate marketing activities and coordinate both internal and external events, such as fundraising initiatives
  • Prepare, review, and edit correspondence, briefing notes, presentations, agendas, and minutes for various formal meetings and committees as required
  • Provide administrative support for projects, including conducting research, drafting reports, maintaining milestone tracking, and managing project documentation
  • Establish and maintain effective information and record-keeping systems, ensuring ease of access to important data
  • Maintain interagency data using Excel spreadsheets and the organisation’s case management system
  • Work collaboratively with both internal and external stakeholders, fostering strong relationships with staff and managers across the organisation
  • Ensure compliance with relevant legislation, such as the Fair Work Act 2009, WHS Act & Regulations 2011, Information Privacy Act 2009, Privacy Act 1988, Human Rights Act 2019, Anti-Discrimination Act 1991, and HSQF licensing
